Organization Platform Agreement

The agreement between MyClub and each organization that runs a group — especially one that collects money.

Who this is for

This agreement is between Boothe Collective LLC [confirm legal entity] and the organization (club, team, association or other group) that uses MyClub. The person accepting it confirms they are authorized to bind the organization. It applies together with the Terms of Service, Payment Terms, Acceptable Use Policy, Fee Disclosure and Refund Policy Framework.

How money flows

To collect money online, the organization connects a Stripe account through MyClub (Stripe Connect). Stripe verifies the organization and its representative and pays out to the organization's bank account. The organization also agrees to Stripe's Connected Account Agreement.

When a member pays, the charge is processed by Stripe on MyClub's platform account and the organization's share is transferred to the organization's Stripe account (a "destination charge"). MyClub keeps its transaction fee from each payment (see the Fee Disclosure). Depending on the organization's fee setting, the member pays the fee on top ("member covers") or it's deducted from what the organization receives ("organization covers").

The organization's responsibilities

  • Only charge people for legitimate dues, fees and shared costs, in amounts and at times they've been told about.
  • Decide and publish a clear refund policy, handle refund requests, and respond promptly to disputes (chargebacks).
  • Cover refunds, chargebacks, dispute fees and reversals: when a payment is refunded or disputed, the amount is recovered from the organization's Stripe balance, and if that isn't enough, from its bank account or future payouts.
  • Handle its own taxes, including sales tax where applicable and any reporting on the money it collects. Stripe may issue tax forms (such as Form 1099-K) to the organization.
  • Collect members' personal information lawfully, keep it only as long as needed, and get a parent's or guardian's agreement before adding a minor.
  • Protect admin accounts: organizers with money permissions must use two-step verification.
  • Keep its information (name, contact person, payout details) accurate.

Member data

For information about its members, the organization decides what is collected and why; MyClub processes it on the organization's behalf to provide the service, following our Privacy Policy and Data Retention Policy. MyClub doesn't sell member data or use it to advertise.

When a member deletes their MyClub account, their personal details are erased from the organization's roster, while records of their payments stay (with their name replaced by "Deleted member") so the organization's books remain correct.

Risk, suspension and closing

MyClub monitors for fraud and abuse (for example unusual refund or dispute rates) and may pause payouts, restrict features or suspend an organization to protect payers or comply with Stripe's and the card networks' rules. We'll explain why and how to resolve it when we can.

Either side may end this agreement. Closing an organization archives it and revokes access; financial records are kept for 7 years as described in the Data Retention Policy. Ownership can be transferred to another member in the group's settings.

Fees and changes

MyClub is free for organizations; MyClub's revenue is the transaction fee on online payments. We'll give at least 30 days' notice of fee increases, and fees shown to a payer before they pay never change for that payment.
